Role and Responsibilities

  • Processing contracts in accordance with documented company guidelines, ensuring accuracy at all times.
  • Producing and issuing customer documentation
  • Establishing and maintaining contract databases and other records systems to track contracts coming up to renewal
  • Be confident in liaising with internal customers/external suppliers to investigate queries, provide assistance and advice as necessary, tailoring the approach to meet the needs of different groups/individuals at all levels of the organisation
  • Obtain appropriate documentation in relation to purchases, including POD's, support contract information, serial numbers & update systems accordingly
  • Requesting information and prices from suppliers & provide updates as appropriate to all stakeholders.
  • Assisting in the development, implementation & documentation of internal processes
  • Highlight opportunities for changes to working practices and procedures
  • Undertaking continuing personal and professional development to meet the demands of the job

Qualifications Required

  • GCSE Grade C or above in English and Maths, or equivalent qualification
  • NVQ Level 2 or above in Office Administration or equivalent qualification/experience

Experience Required

  • Recent administrative experience
  • Experience of working in a customer services and/or support environment
  • Excellent administrative skills
  • Excellent customer service skills
  • Excellent organisational skills
  • Excellent written and oral communication skills

  • Be self-motivated and have the ability to use own initiative to see what needs doing, rather than waiting to be asked or told
  • Be honest and trustworthy, with the ability to maintain confidentiality
  • Able to deal confidently and proactively with colleagues & suppliers on email & telephone, both within the UK & across Europe
  • Ability to use Windows based software, to include Excel, Word and Email & financial software such as Navision.
  • Ability to consistently demonstrate a professional, friendly and approachable attitude, even when under pressure.
  • Work to meet tight deadlines with the ability to prioritise work as required, understanding key dates within the business
